Overview

We are committed to responsible coaching and to creating sport experiences that protect participants and support positive development. Our approach is designed to keep sport Safe, Smart and Secure for everyone involved, on and off the field of play.

Purpose

This policy establishes clear expectations for:

• Safe interactions between coaches and participants

• Screening practices that reduce risk

• Ongoing education that strengthens ethical coaching and decision-making

Scope

This policy applies to all coaches, staff, volunteers, officials, contractors, and any individuals acting in a supervisory role within our programs. It applies to in-person activities, travel, and digital communications.

Our Responsible Coaching Standards

We align our coaching practices to three pillars:

1) Rule of Two

We ensure interactions and communications between a coach and a participant take place in settings that are open, observable, and justifiable.

Core requirements:

• Two responsible adults are present when feasible (coach, staff, parent/guardian, or screened volunteer)

• One-on-one situations are avoided whenever possible

• Exceptions may occur in emergency circumstances and must be documented

Practical applications:

• Training and meetings occur in public or easily observed spaces

• Digital communication is transparent and appropriate, with oversight where required

• Transportation and travel follow a two-adult approach and established travel rules

2) Background Screening

We use screening to help create a secure environment and to support informed staffing decisions.

Screening may include, based on role and responsibility:

• Identity verification and reference checks

• Criminal record and other relevant checks as permitted by law

• Periodic renewals according to organizational requirements

Only individuals who meet role-appropriate screening requirements may serve in coaching or supervisory capacities.

3) Ethics Training

We require education that strengthens ethical coaching behaviour and improves judgment in challenging situations.

Training expectations:

• Coaches complete recognized ethics-focused learning appropriate to their role

• Training is refreshed as required to remain current

• Coaches apply learning through clear standards of conduct, boundaries, and participant-centered practices

Conduct and Boundaries

All coaches and supervisors must:

• Maintain professional boundaries

• Use respectful, appropriate language and behaviour

• Avoid situations that create risk, uncertainty, or discomfort for participants

• Follow all supervision, travel, and communication expectations under this policy

Reporting and Response

Anyone can report concerns related to safety, misconduct, boundaries, or policy breaches. Reports are taken seriously, handled promptly, and documented.

Review

This policy is reviewed regularly and updated as needed to reflect best practices, program changes, and applicable requirements.
